Project Overview

HT Rubber Tech supplies and trades rubber scrap, butyl rubber scrap and crumb rubber powder to buyers across India from its base in Surat. Enquiries arrived by phone, WhatsApp, referral and walk-in, then lived in spreadsheets and on individual salespeople's phones. FoogleTech deployed and configured Orbis Lead CRM for the business — one cloud system in which every enquiry is captured, de-duplicated, assigned, followed up on schedule and reported on.

The Engineering Challenge

  • The sales process ran on memory and message history — an approach that works while a trading business is small, and quietly stops working as it grows.
  • Enquiries landed across four channels at once, with no single place they all collected.
  • The same buyer often existed two or three times under slightly different spellings or phone formats, so two salespeople could unknowingly work the same lead.

  • Enforced duplicate detection at the database level rather than in application code, with phone numbers normalised on entry so "+91 98765 43210" and "9876543210" resolve to the same buyer even when two people import at once.
  • Automated lead assignment in round-robin order or balanced by current workload, with every call logged against the lead and follow-up reminders firing on schedule.
  • Gave the owner a live dashboard covering enquiry volume, open leads and individual performance, with role-based access scoping each user to what they should see.
